Job WfFinishOrApproveActivities
WfFinishOrApproveActivities job can be used to "push forward" open process instances of certain process definitions that cannot be completed due to a lack of processing by the assigned approvers/reviewers by automatically processing (i.e. approving or reviewing) the still open approval or view activities up to a certain role.
Job configuration
Which process definitions: Select the process definitions to be processed with this double list selection RoleA role can be selected here to restrict the "automatic" forwarding of tasks in a process up to a certain point in the workflow. This means that when tasks of this role are recognized, they are no longer forwarded. For example, the personnel role could be defined here to "forward" ongoing multi-stage workflow processes that include approval by the personnel role at the end, in order to ensure that the tasks automatically go to the personnel role and the open predecessor tasks are automatically completed. If the role remains empty, the tasks are completed to the end. Javascript Hook Function: Here you can define a Javascript that changes variables in the activity context. The current content of the workflow variables can be read and changed via the global JS variable 'varMap' (map with key=VarName and content=WfVariable).
Time selection mode
-
Here you can choose whether the time window should be selected absolutely by specifying the start/end date, or
-
by specifying a relative time window into the past starting from today
Temporal selection of processes
Start date for the search for processes to be processed Determines the start of the period for which processes to be processed are to be searched. The effective date of the process is decisive (e.g. period of the requested vacation). If empty, the searched period is open into the past. End date for the search for processes to be processed Determines the end of the period for which processes to be processed are to be searched. The effective date of the process is decisive (e.g. period of the requested vacation). If empty, the searched period is open into the future. Number of days in the past If you select the Relative mode, you can specify the number of days in the past from today that should be used to select the processes to be processed.Approve activity If the checkbox is activated, the job will attempt to approve the tasks that require approval. Otherwise, the tasks will simply be completed, regardless of whether approval or review is actually intended. View Activity If this checkbox is enabled, the job will attempt to automatically review the tasks that need to be reviewed.

job WfFinishOrApproveActivities processes open workflow activities for selected process definitions and persons. It can automatically process matching approval or review activities and complete other open activities. In the supplied job descriptor, the job can be activated, is configurable and is not active by default.
Processing
-
The selected process definitions and also hidden workflow entries are queried.
-
The period is determined either absolutely via start and end date or relatively from today back over the configured number of days.
-
Processing can be restricted to persons, groups and clients. If these filters are empty and the job is assigned to a client, the persons of this client are used.
-
The job processes the activities found repeatedly until no further activity can be processed.
-
An activity is only processed if the configured role is not already assigned as a participant and a completing person can be determined.
Job configuration
Process definitions and role
-
Process definitions: Selection of the process definitions to which the job is applied.
-
Role: The job processes activities only if this role is not currently entered as a participant.
Person, group and client
The optional filters Persons, Groups and Clients determine for which processors open activities are searched. Multiple selections are merged.
Completing person
The mode determines on whose behalf the activity is processed:
-
Author: Author of the process.
-
Full System Administrator: System administrator.
-
Last processor: the last processor from the completion log; if there is none, the author.
-
Custom: a specifically selected person.
Approve and review
-
Approve activity: If enabled, activities requiring approval are approved via the completing person. If the option is disabled, such activities remain unchanged.
-
Review activity: If enabled, activities requiring review are reviewed via the completing person. If the option is disabled, such activities remain unchanged.
-
Activities without required approval or review are completed. If necessary, the job accepts the activity beforehand.
Period
-
Absolute: optional start and end date.
-
Relative: from today minus Number of days in the past until today.
-
Empty absolute limits remain open and are not set artificially.
JavaScript hook
Optionally, a JavaScript hook function can be executed before the activity is processed. It can change workflow variables via varMap. Also available are appCtx, listItem, procId, actId, finishingPersonWorkflowId and processDefinition. The changed variables are then saved.
Email
If Mail to the next workflow processor is enabled, the job collects the email addresses of the main processors of the affected processes and, after processing, sends a message with the configured Mail subject and Mail content.
