New Features in 4.56

Important change to the algorithm for encrypting data and passwords!

As part of the update to Webdesk 4.56+, the algorithm for encrypting connection data and passwords is updated. As a result, all credentials stored in the database and in the files webdesk.properties and tacon.properties are encrypted / re-encrypted.

It is therefore especially important for this update to create a full backup of the "Webdesk" and "Shark" databases BEFORE performing it!

In addition, you must ensure in advance that at least Java 8 Update u163 is used.

The encryption key required for the re-encryption is created automatically during the update process and saved in the file webdesk.properties. After a successful update, it should be saved in a separate file named "enc.key" and placed in the same directory as the file webdesk.properties (the key can then be deleted from the file webdesk.properties). In addition, the parameter "webdesk.encryption.key.source" in the file webdesk.properties must be changed to "file".

Attention: this file (enc.key) must be backed up separately - if the file is lost, Webdesk can no longer be started and the stored credentials in the database as well as in the webdesk.properties and tacon.properties files can no longer be decrypted!

In clustered systems, the encryption key is additionally stored in the database in the table PoFile with the UID "encryptionKey". After a successful update and after moving the key to the file "enc.key", this entry should be deleted with the following SQL statement:

DELETE FROM PoFile where FILE_UID='encryptionKey';

Improved filters for reports based on the journal (OrgJournal)

The filters for reports based on the journal (OrgJournal) (e.g., "Filters for Irregularities in Time Tracking") have been improved. For filter properties that can only have two states, it is now possible to switch the filters on and off. It is also now possible to enter balance values for certain filter criteria.

Attention: these filter options are only available after the configuration has been adjusted!

Regarding the configuration of the fields for filtering, note that when parentheses and/or different logical operators (and, or) are used, all fields are automatically active for the user. It is not possible to switch off the filters in such a configuration.

The following example shows an active filter and two selected filter criteria in the search form:

Filter option in reports focusing on terminations

In reports based on OrgJournal, it is now possible to display only persons who left the organization within a time frame to be entered (checkbox "Show only terminated employees" or by selecting a time frame). The termination date according to the person's time tracking data is used as the date for the end of employment.

Attention: these filter options are only available after the configuration has been adjusted!

Legislation for key values

It is now possible to assign key values to a national or regional legislation. This implementation is possible for certain parts of Webdesk and cannot be carried out globally.

There are three categories for key values that determine the availability of the values.

In the selection, the legislation of a location assignment of the person, if one exists, is used. If this assignment does not exist, the legislation of the client is used.

Example: Ms. Huber is newly created as an employee. She works for her employer, which is based in Linz, but whose branch is in Bavaria. To record the holiday calendar valid for Ms. Huber (Person/Settings/Time Tracking), the HR representative has "Germany" according to Ms. Huber's location, but also "Vienna" and "Europe" available for selection in the list. Since the holidays differ between Germany and Austria, "Germany" is selected.

A year later, Ms. Huber moves to the headquarters in Linz. Now the legal assignment of the company headquarters applies and "Austria" is available.

Attention: when the place of work changes, as in the example described, the holiday calendar must be changed manually! An automatic change is not possible!

Loading indicator for context menus

All functions with context menus, such as the group calendar or the journal, now show a loading indicator when this function is opened.

Hidden columns also apply when exporting reports

If columns are hidden in the journal, this also affects the display of the journal in an exported format (Excel, PDF, CSV): the export is now performed without the hidden columns

Collective agreements in "Legislation"

In the "Legislation" function, the linked collective agreements are now also visible

Gender "diverse"

The option "diverse" (non-binary) is now available in all gender selection options (creating a new person, filter options for reports, etc.).

Report for expiring work/residence permits

HR Expert offers a new standard report that allows users to filter for expiring work or residence permits. This report can be found under "Personnel Lists" and offers selection options by time period and by permit type. Information on expiring permits is also available on the dashboard.
