Zweck

Der Job GwStartOutOfOfficePeriod aktiviert oder deaktiviert automatische Out-of-Office-Antworten im Groupware-Postfach auf Grundlage nicht produktiver Abwesenheiten aus dem TA-System.

Der Job benötigt die Module TA und GW. Im mitgelieferten Job-Descriptor ist er derzeit nicht aktiv und nicht über ein eigenes Konfigurationsformular konfigurierbar.

Voraussetzungen

• Die Person ist gültig, hat eine TA-Zuordnung und in den Groupware-Einstellungen automatische Out-of-Office-Antworten aktiviert.
• Für den Mandanten sind die Groupware- und TA-Integration sowie die benötigten Standardtexte eingerichtet.
• Produktive Abwesenheitsgründe werden nicht als Abwesenheit für die automatische Antwort verwendet.

Ablauf

1. Der Job ermittelt die berechtigten Personen und gruppiert sie nach Mandant.
2. Für jeden Mandanten werden die produktiven Abwesenheitsgründe geladen.
3. Bei einer nicht produktiven offenen Abwesenheit wird Out-of-Office ohne geplantes Enddatum aktiviert.
4. Andernfalls wird ein Zeitraum nicht produktiver Abwesenheit ab dem aktuellen Prüftag ermittelt. Wird ein Zeitraum gefunden, aktiviert der Job Out-of-Office mit Start- und Endzeit.
5. Für Personen, die aus einer offenen Abwesenheit zurückkehren, wird Out-of-Office deaktiviert.
6. Fehler bei einer einzelnen Person werden protokolliert; die Verarbeitung der übrigen Personen und Mandanten läuft weiter.

Antworttexte und Platzhalter

Für externe und interne Antworten verwendet der Job die persönlichen Texte. Ist ein Text leer, wird der mandantenspezifische Standardtext verwendet. Enthält ein persönlicher Text nur HTML-Markup ohne sichtbaren Text, wird er ebenfalls als leer behandelt. Wenn die interne Antwort entsprechend konfiguriert ist, kann dafür die externe Antwort wiederverwendet werden.

Die Texte werden per Scripting-Service mit folgenden Variablen ersetzt:

• absenceStartDate und absenceEndDate: Beginn und Ende der TA-Abwesenheit
• fromDate und toDate: Beginn und Ende der Out-of-Office-Zeit

Bei einer offenen Abwesenheit wird für das Ende die Übersetzung until_further_notice verwendet.

Purpose

The GwStartOutOfOfficePeriod job activates or deactivates automatic out-of-office replies in the groupware mailbox based on non-productive absences from the TA system.

The job requires the TA and GW modules. In the supplied job descriptor, it is currently not active and cannot be configured via its own configuration form.

Prerequisites

• The person is valid, has a TA assignment, and has automatic out-of-office replies enabled in the groupware settings.
• The groupware and TA integration as well as the required default texts are set up for the client.
• Productive absence reasons are not used as an absence for the automatic reply.

Process

1. The job determines the eligible persons and groups them by client.
2. For each client, the productive absence reasons are loaded.
3. In the case of an open non-productive absence, out-of-office is activated without a planned end date.
4. Otherwise, a period of non-productive absence starting from the current check day is determined. If a period is found, the job activates out-of-office with a start and end time.
5. For persons returning from an open absence, out-of-office is deactivated.
6. Errors for an individual person are logged; processing of the remaining persons and clients continues.

Reply Texts and Placeholders

For external and internal replies, the job uses the personal texts. If a text is empty, the client-specific default text is used. If a personal text contains only HTML markup without visible text, it is also treated as empty. If the internal reply is configured accordingly, the external reply can be reused for it.

The texts are replaced via the scripting service with the following variables:

• absenceStartDate and absenceEndDate: start and end of the TA absence
• fromDate and toDate: start and end of the out-of-office period

For an open absence, the translation until_further_notice is used for the end.

The general job parameters such as trigger and email notification apply as defined in central job management.
