Release Notes - Webdesk - Version 4.59 - February 24, 2025

New Features

Periodic Approval of Journal Entries

With this version we are introducing the periodic approval of journal entries. This new function enables companies to review and approve their employees' monthly time tracking journals in a structured and regular manner.

Flexible configuration: The function can be enabled or disabled at client level. In addition, periods, user groups, and specific approval processes can be defined.
Status display in the journal overview: Users see immediately whether their journal is approved, submitted, or still pending. If submission is not possible, corresponding information is displayed.
Submission at the push of a button: As soon as a journal is ready for approval, it can be submitted with a button. If errors exist, the submission is blocked and the user receives a corresponding message.
Automatic reminders: After a configurable number of days, employees are reminded to submit their journal for approval.
Locking of changes after submission: Once a journal has been submitted or approved, subsequent changes (e.g. time corrections or absence requests) are no longer possible for the period concerned.
Process optimization on rejection: If a journal is rejected, the user can resubmit it directly after correcting it, without detours via the to-do list.

This innovation provides better transparency, simplified processes, and clear traceability of working times and corrections.

Client-Specific Process Definitions

[WD-13117] - Workflow process definitions can now be assigned on a client-specific basis. This allows more targeted control, as is already the case for connectors and jobs. A new extended attribute ClientUid ensures that processes are only used within the associated client.

Interactive Webdesk Tour for New Users

[WD-17072] - The first phase of the Quick Guide Tour was introduced. This interactive tour helps new users find their way around Webdesk and become familiar with the most important functions more quickly.

Evaluation of Interns and Summer Job Workers

[WD-17783] - A new Webdesk UI for evaluating interns was introduced. The HRX view provides an overview of evaluations, an editing function, and a standardized approval process.

Fundamental Changes

Removed Functions

[WD-16934] - The action ta_getMonthList.act was removed. As a better solution for the approval of past working times, the monthly approval integrated into the journal is now recommended.

Improvements

Improvements in the Attendance Tableau

[WD-16934] - The visual timeline in the card mode of the Attendance Tableau now distinguishes between contiguous and adjacent events by means of rounded segments.
[WD-17343] - The user interface of the Attendance Tableau now allows seamless switching between card and table view. Unnecessary filter options were removed.
[WD-16836] - Right-clicking a card in the card view of the Attendance Tableau now opens a context menu with relevant options.
[WD-16895] - A new popup displays groupware appointments as well as absence intervals. Comments on absences are hidden if the display option is configured accordingly.

Optimizations in the Attendance Tableau

[WD-18025] - Refinements to the implementation of the new popup for groupware appointments for use with live data.
[WD-16953] - Colors and icons for the attendance status are now processed directly by the backend to ensure a consistent display.
[WD-16810] - A fourth option for the filter form was added when client-side processing is enabled.

Improvements in Time and Absence Management

[WD-16711] - Improvements to the mobile UI for the project time entry form to enable a better user experience on smaller screens.
[WD-17613] - The correction client module now correctly takes approval rights set for future months into account to prevent unwanted changes.
[WD-17997] - Ability to automatically run a 6020 script after a time correction to meet specific customer requirements.
[WD-17769] - Optimization of UI consistency for the "Time Correction" module.
[WD-17431] - Removal of unnecessary dividing lines in the correction client between the columns "K" and "FB".

Optimizations in the Time Tracking and Approval System

[WD-17708] - Introduction of universal accounts in the journal configuration to bridge system differences between 6020 and 6040.
[WD-17504] - Configurable display of absences on certain days in the calendar (e.g. weekends, holidays).
[WD-17379] - Dynamic adaptation of the time tracking interface: Irrelevant sections are hidden based on system availability.
[WD-17360] - New class for account management to unify the configuration for different time tracking systems.

Starting Absence Requests Directly from the Calendar

[WD-17059] - It is now possible to start absence requests directly from the annual calendar. The available absence reasons are determined dynamically from the process definitions and displayed according to the supported scenarios (e.g. single intervals, recurring intervals).

[WD-17221] - A new configuration option makes it possible to specify that absence reasons from process definitions of type absence request are taken into account. They are displayed in addition to the directly defined (and without approval bookable) absence reasons.

Extensions and Improvements in Process Management

[WD-17117] - Separator-based file connectors can now retrieve files via SFTP.
[WD-15621] - Improved handling of process references when the associated process definition has been deleted, to avoid unexpected errors.
[WD-17003] - Improved user guidance in the configuration of the startConnectorLinkSync job by a direct link to the associated connector.

Configurability of WfFinishOrApproveActivities

[WD-17994] - The job WfFinishOrApproveActivities can now be configured to process only specific to-dos of certain persons or groups. With client-specific configuration, the selection of other clients is hidden.

Optimizations in the Permission Concept

[WD-13829] - The permission check in wf_getProcessInfo.act was improved to ensure that process details cannot be viewed without authorization by sharing the link.

Improvements in Travel Management

[WD-17483] - Errors when creating travel reports no longer lead to an endless loading screen but are clearly displayed as errors.
[WD-17542] - A new checkbox makes it possible to quickly select or deselect all trips for the ZIP export.
[WD-17482] - If a ZIP export is started for trips without attachments, an information message now appears instead of an unclear tab opening.

VAT Management

[WD-18195] - Input fields now support auto-selection, flexible input formats, and formatted display based on the user's region.
[WD-18194] - The column width was reduced to allow a better overview and adaptation to smaller screens.
[WD-18176] - The display of VAT data was revised so that it is consistent in all views.
[WD-17803] - Travel expenses without a defined VAT rate are now shown as "Unknown" instead of incorrectly as "0%".

Optimizations in the HR Process

[WD-16801] - A person creation assistant was added that captures only the required fields. Captured are, among others, client, name, employee ID, user name, organizational unit, required groups, entry date, weekly hours, other required fields from the form customization, and creation of the employment status / restricted access before entry allowed. After creation, you can proceed directly to full data entry or to the creation of another person.

Improvements in the HR Messaging System

[WD-18040] - The client assignment for messages was optimized so that users with restricted rights only see relevant selection options.
[WD-18216] - Administrators can now see which recipients have read or rejected a message.
[WD-18041] - Ensured that only authorized users can create public messages.
[WD-18149] - Simplified dialog for messages that have already been sent for better user guidance.
[WD-18171] - Clearer labeling of messages: "Read on" is changed to "Confirmed/Rejected on".

HR Expert Improvements

[WD-17152] - In the re-entry form, the names of the additional required groups are now displayed as placeholders.
[WD-16996] - Added a search function for the assignment tables of the allowance calculation.
[WD-16937] - The secondary TA ID is now stored on HrEmployment instead of HrEmploymentState to avoid unnecessary duplicates.

Optimizations of the Quick Guide Tour

[WD-17202] - Links in the onboarding tab now open in a new tab by default.
[WD-17203] - The "Getting Started" button now leads to the correct help page.

Optimizations of the Color Scheme and Dark Mode Support

[WD-17784] - All colors of the main menu are now controlled via CSS variables to allow later adaptation to different designs and brands.
[WD-17953] - The mobile menu was adapted to dark mode to ensure a consistent display.
[WD-18043] - Fixed the color display when hovering over menu entries in dark mode.
[WD-17973] - Holidays, weekends, and the current day are now more visible in dark mode on mobile devices.
[WD-17972] - Fixed the color conflicts between light and dark mode in the attendance menu.

Small Universal Color Palette for Configurations

[WD-16944] - Introduction of a small, unified color palette for use in various configurations, e.g. for absence reasons. The colors are compatible with all themes and brandings.

Optimization of the UI/UX in Mobile Webdesk

[WD-16987] - Layout, spacing, and colors were optimized to ensure better readability and user guidance. Absence reasons are now displayed in colored badges.*

[WD-16711] - Improvements to the mobile UI for ptm_getOrgProjectEfforts.
[WD-15405] - Revision of the UI for the GetOrgJournal report: Reduction of visual distractions, improved search functions, revised filter options, and unified layout for the toolbar and export functions.

UX and Design Improvements

[WD-17544] - Adjustment of the design of the menu cards for a consistent display in dynamic mode.
[WD-17096] - Introduction of a new column "Group Type" in the group overview to make organizational and loose groups easier to recognize.

[WD-17432] - The font size and layout for long names in Book Project Times were corrected to avoid truncated text and layout problems.
[WD-17736] - The tooltip in React content now supports the dark and light theme without unwanted black borders.
[WD-17358] - The icon in the selection list of ta_absenceClient.act was replaced by the corresponding FontAwesome icon. In addition, the dialog title was adjusted.
[WD-17850] - The calendar interface on mobile devices was optimized: The month display was moved next to the + icon and the status was right-aligned.
[WD-17573] - The size of the dropdown menu for text modules in travel records was reduced.
[WD-17961] - Hard-coded color values were removed from several CSS files and replaced by variables.

Improved Security Settings

[WD-16515] - API keys for PoKiosk are now only made visible to full system administrators. Other users only see the keys after explicit release.

[WD-15746] - Class names in stack traces of PoLogDetailThrowable are now shortened automatically to reduce database and transaction load.
[WD-16484] - Ensured that a maximum of one default PoExternalAPI per service type can be stored to avoid errors.
[WD-17097] - The deprecated findbugs-maven-plugin was removed or replaced by the more modern spotbugs-maven-plugin.
[WD-17138] - The infrastructure for REST endpoint tests was modernized to JUnit 5 and Testcontainers.

Technical Optimizations

[WD-13563] - Implemented lazy loading for the password status in editPerson.act to improve loading times.

Functional Improvements

[WD-17000] - In the ExecuteBatchJobs configuration, you can now jump directly to the configured jobs, which makes editing faster.
[WD-17101] - The Spring bean names for menu entries and presenters in the HR module were corrected and standardized.

Bug Fixes

[WD-18239] - Fixed a problem where no processes could be started because an invisible validation error message occurred in the background.
[WD-17866] - The blue border around the welcome modal was removed.
[WD-17347] - Fixed an error that occurred during the injectAllProcesses at startup.
[WD-18095] - Activating TA for a person in HRX led to a NullPointerException. This error was fixed.
[WD-17599] - The column alignment in ta_getOrgJournal no longer worked correctly and was repaired.
[WD-15041] - The label of the weekly program in editPerson was corrected so that it no longer wraps in the middle of a word.
[WD-15785] - TACON now also starts correctly when the Interflex system parameter 208 is missing.
[WD-18020] - Fixed an error that caused an exception when opening an assignDailyRight process form.

[WD-18096] - Opening a person with a secondary employment in HRX caused an exception if the employment contracts of the primary and secondary employment differed. This problem was fixed.
[WD-18134] - The React journal did not display the changes immediately after a negative correction. This problem was fixed.
[WD-18181] - Fixed an exception when changing travel data.
[WD-17712] - Jumping directly to ptm_editTimeEfforts.act via the context menu ignored parameters due to the action cache. This problem was fixed.
[WD-17430] - Changing the valid-to date of an action permission under a person led to an exception. This was corrected.
[WD-17336] - In the Travel Expense UI, the spacing between the title and the date interval was corrected, and the comma between date and time was removed.
[WD-17646] - The monthly view of the TimeEfforts action incorrectly displayed a search bar. This problem was fixed.
[WD-18021] - The column allowsMultipleVatTaxesPerRecord was not created automatically on SQL servers. An upgrade script was added to fix this problem.
[WD-17031] - Changing the password in the REST endpoint connector interfaces did not work correctly and was fixed.
[WD-17088] - The search for process definitions by name showed no results. This problem was fixed.
[WD-12819] - Fixed an error that caused multiple identical running PTM bookings to accumulate in the database.

[WD-17490] - The summary rows in the report now correctly respect the number formatting defined in the system.
[WD-17480] - The layout of the travel page was optimized to make better use of the available space and to improve the display of table headers.
