Job openActivitiesReminder

Purpose

The job openActivitiesReminder informs persons by email about open workflow activities from the previous month. In the supplied descriptor it is currently not active but is configurable.

Process

1. The role holders are determined from the configured roles. If no client is selected, only public roles are taken into account; for selected clients, public roles and matching client-specific roles are taken into account.
2. For each person determined, a workflow query for open, running to-dos in the previous month is executed.
3. The period is evaluated either based on the creation date or the effective date of the process instance. By default, the effective date is used.
4. At most one email is sent per person, even if several open activities are found.

Configuration

• Clients: Optional selection of clients.
• Persons to be reminded: Selection of the roles whose role holders are checked.
• Type of request date to search for: Creation date or effective date.
• Mail subject: Subject of the email.
• Mail text: HTML content of the email. The job does not replace any placeholders in the text.

Errors and missing data

Persons without a valid email address are logged and skipped. Errors when sending an email are logged; processing of the remaining persons continues.

The general job parameters such as trigger and mail notification apply as defined in central job management.
