20 years of time recording - what has changed?
In the 20-year success story of Workflow HR Systems we have already dealt with various aspects of time recording and evaluation.
In the following expert interview, our Senior HR Consultant Christian Stastny an insight into his work and the changes in time recording over the years.
How long have you been involved with the topic of "time recording"? What does your career look like?
Stastny: "I have been working in the field of time recording and evaluation since the mid-90s. I started my career at Interflex Datensysteme GmbH. On April 1, 2002, I finally became a team member of Workflow EDV GmbH. My area of expertise is basically everything that goes hand in hand with time recording/evaluation, be it overtime calculations, break regulations or the storage of complex fixed time models. I also head up the Consulting & Services team."
Has correct time recording become more complex in recent years? To what extent have the requirements for a time recording tool changed?
Stastny: "Time recording has definitely become more complex in recent years. In my early days, the focus was not only on basic working time recording, but also on overtime evaluation. Today, we face new individual customer requirements on a daily basis, which go far beyond overtime regulations. The increasing desire for flexibility and independence is particularly noticeable. The desired response times are getting shorter and shorter and the requirement for independent management of time models, for example, is becoming more and more relevant. Whereby we see the independent Management of time models can now already cover."
What are the most common errors in time evaluation?
StastnyIf there are discrepancies or incorrect calculations in the time evaluation, this is rarely due to the software. There are many ways to achieve a correct time evaluation. Overtime can be calculated in 20 different ways, but it is important that it is self-contained and comprehensible and complies with legal requirements. It is usually the communication that fails. Many companies are not clear about their payroll accounting when they commission a time management system and are therefore unable to communicate their requirements precisely. This leads to ambiguities and errors can occur. It is therefore up to us to find a common wording with the customer."
What requirements must a high-quality time recording tool fulfill?
StastnyIt must be possible to cover the legal requirements and calculated balances must always be traceable. It must also be transparent and user-friendly. The interface must be intuitive so that employees don't have to undergo any training."
How many different time accounts are currently linked to the personnel cloud?
Stastny"There are currently exactly 510 individual time accounts linked to the personnel cloud."
How quickly can legal changes be implemented?
Stastny"The implementation period is variable in that additional development work is required for some new, more extensive legal requirements. However, the 12-hour day, for example, was preconfigured in the standard within a month."
The introduction of time recording is often associated with the prejudice of employee control. What do you think about this?
Stastny: "I see the introduction of time recording as a way of offering employees more transparency. They can view their current balances and remaining vacation days at any time. They know exactly what they are entitled to and can intervene and correct any incorrect entries. Time recording ensures compliance with a company agreement and the collective agreement, so in my opinion the concerns are unfounded."
Where do you think the journey is heading? How will the requirements for time recording change in the future?
Stastny: "The requirements are already changing all the time. I am convinced that even more companies will take a step towards digitalization in the future and dispense with recording working hours using Excel lists. Evaluations must be available at the click of a mouse and must not take up too much time."
